Approving Events
Although most events will go straight into a calendar (e.g. room bookings), certain events will require approval by the calendar owner. A calendar owner is in overall charge of a particular calendar and can edit and delete all events and bookings. Whenever anyone adds a new event that requires approval, the calendar owner is automatically notified by e–mail and the event will not be publicly displayed until it has been approved.

1 Check your e–mail
If you are a calendar owner then you should check your e–mail every day: you will be notified as soon as a new event that requires approval is added. Unless you request otherwise, only you, as calendar owner, will receive any of these e–mails.
The e–mail will include details of the event but it is best to go straight to the calendar to view it in context (NB the time stated in the e–mail reflects the server time, rather than UK time, and cannot show lesson periods).
2 Go to the calendar
To go to the added event in the calendar:
either click the link in the e–mail
or find the This Calendar area and select the Approve Events link. This will bring you to the Events Pending Approval page.
3 Approve or delete the event
Quite often you will be able to make an instant decision to approve or delete the event(s). However, if the event is set to repeat then you may need to check out the details of this (see editing events). Also, some events may need editing (again, see editing events).
To approve or delete the event:
- Use the drop–down box to change the status from pending to approve or delete, as appropriate
- Click the Approve/Delete button
- If you have deleted an event, please e–mail the event owner to let them know (unfortunately, this cannot be done automatically by the program but this feature will hopefully be offered in a future release)
- If you have approved an event, it will now be displayed for everyone to see
